Portfoliq provides property management software for UK landlords. This policy explains how we collect, use and protect personal information when you visit our website, create an account, use our platform, or communicate with us.

For the purposes of UK data protection law, PORTFOLIQ LTD is the controller of personal information collected through the service unless we tell you otherwise.

We collect account information such as your name, email address, authentication details and subscription status.

We collect property and tenancy information that you choose to add to the platform, including property addresses, tenant contact details, tenancy records, compliance dates, documents, tasks and notes.

We use Stripe to process subscriptions, checkout sessions and billing portal access. Stripe may process payment details for those transactions; Portfoliq stores Stripe customer, subscription and checkout reference IDs, but does not store card numbers on our servers.

We may collect limited technical and security information generated when you use the service, such as IP address, browser or device information, access times, requested pages, authentication events and application logs. We use this to operate, secure and troubleshoot the platform.

We use personal information to provide and maintain the platform, manage accounts, process subscriptions, support compliance workflows, send service messages, improve product reliability, prevent fraud and meet legal obligations.

Where you opt in to product updates or marketing, we may use your contact details to send relevant information. You can unsubscribe from marketing messages at any time.

We process information where it is necessary to perform our contract with you, where we have a legitimate interest in operating and improving the service, where we need to comply with legal obligations, or where you have given consent.

When you add tenant or occupier information to Portfoliq, you are responsible for ensuring you have an appropriate lawful basis to store and manage that information in the platform.

We share information with trusted service providers who help us operate Portfoliq. These include hosting and storage providers, Stripe for payments and subscriptions, Google for sign-in and address or map services where used, Cloudflare Turnstile for bot protection where enabled, email delivery providers, Meta WhatsApp where messaging features are used, and specialist API providers that power selected product features.

We may also share information where required by law, to protect the rights and safety of users or others, or as part of a business transfer such as a merger, acquisition or sale of assets.

We keep personal information for as long as needed to provide the service, comply with legal obligations, resolve disputes and enforce agreements.

If you close your account or ask us to delete your information, we will delete or anonymise personal information where we no longer need it. Some information may need to be retained for a limited period, for example billing records, security logs, backups, legal claims, accounting obligations or records we must keep to comply with law.

We use technical and organisational measures designed to protect personal information, including access controls, secure hosting practices and monitoring for misuse.

No online service can guarantee absolute security. You should use a strong password, keep login details private and tell us promptly if you believe your account has been compromised.

This can include asking for a copy of your information, asking us to correct inaccurate information, asking us to delete information, asking us to limit or stop certain uses, objecting to certain processing, or asking for certain information in a portable format.

We use cookies and similar technologies to keep you signed in and protect the service. With your consent, we use Google Analytics to understand how visitors use the website and improve it.

We also use Ahrefs Web Analytics to measure aggregated website traffic. Ahrefs does not set cookies or use persistent identifiers for this service. It processes page and referrer URLs, browser and device information, language, and approximate location; raw IP addresses are discarded rather than stored.
