Which check do I do?
Share code online check
If they give you a share code, enter it with their date of birth on GOV.UK. Check the photo matches the person, and save the profile page showing the date.
Original documents
Ask for documents from List A or List B. Check the originals with the person present, in person or by video call. Make a copy and write the date you checked on it.
Landlord Checking Service
If they cannot show documents because they have an outstanding application or appeal, ask the Landlord Checking Service. You need their Home Office reference number. You should get an answer within 2 working days.
Check every adult who will live there, including British and Irish citizens, the same way.
Common questions
- When do I need to do a follow-up check?
- Only for a time-limited right to rent or a Landlord Checking Service answer. For a time-limited right, do it before their permission ends or 12 months after your first check, whichever is later. For the Landlord Checking Service, do it before 12 months from the date in the notice.
- Do I need to check British citizens?
- Yes. Check every adult who will live in the property, including British and Irish citizens, the same way. Checking only some people risks discrimination.
- How long do I keep the copies?
- For the whole tenancy and one year after it ends. Then destroy them securely.
- Can I do the check by video call?
- Yes. You can check original documents with the person on a video call, as long as you have the original documents in your hands during the call and compare them with the person live.
- My tenant sent me a screenshot of their share code result. Is that enough?
- No. Use their share code and date of birth to run the online check yourself on GOV.UK, then save the profile page showing the date you checked.

- It is not legal advice. Take advice if your situation is unusual.
